Longboard Immersion Mentawai

TERMS & CONDITIONS



Retreat dates: 25 April 2026 -05 May 2026


Full Price: USD $2,600

Early Bird Price: USD $2,370

Deposit: USD $500



1. BOOKING & DEPOSIT POLICY

Booking Confirmation

Your booking is confirmed once the USD $500 deposit has been paid and received.

Remaining Balance

  • The remaining balance must be paid within 14 days of paying the deposit.

  • If payment is not received within this timeframe, your booking may be cancelled and your deposit forfeited.

  • Extensions must be requested in writing and approved before the 14-day deadline.

Early Bird Policy (Discounted Rate)

By securing an Early Bird spot, you acknowledge that:

  • You may cancel within 7 days of paying the deposit and receive a full refund of the deposit only.

  • After 7 days, all payments (deposit + balance) become strictly non-refundable as a condition of the discounted rate.


2. CANCELLATION & REFUND POLICY

If You Cancel Within 7 Days of Deposit Payment

  • You receive a full refund of the deposit only.

If You Cancel After 7 Days

  • NO REFUNDS will be provided (deposit + any payments), as supplier bookings in Mentawai are confirmed immediately and are non-refundable.

If You Cancel After Full Payment

  • No refunds will be provided under any circumstances.

Medical Cancellations

  • A medical certificate is required if non-attendance is due to illness or injury.

  • While refunds are not guaranteed, we may offer partial credit toward a future retreat, depending on third-party conditions (boats, resort, transfers, logistics).

No Show / Late Arrival / Early Departure

  • No refunds or credits apply if you:

    • fail to attend,

    • miss travel connections,

    • arrive late, or

    • leave before the retreat is completed.

These are considered change-of-mind scenarios and are not refundable.

3. TRAVEL INSURANCE (MANDATORY)

All participants must hold comprehensive travel insurance including:

  • Medical coverage

  • Surf-related injuries

  • Emergency evacuation

  • Trip cancellation / interruption

  • Lost or stolen belongings

  • Delay or missed transport due to weather or boat schedules

Proof of insurance must be submitted prior to departure.

If you fail to provide travel insurance, your booking may be cancelled without refund.



4. LIABILITY WAIVER & ASSUMPTION OF RISK

By joining the retreat, you acknowledge and agree that:

Surfing & Ocean Activities

Surfing carries inherent risks, including but not limited to:

  • reefs,

  • strong currents,

  • changing weather,

  • injuries,

  • equipment accidents,

  • unpredictable ocean conditions.

You participate voluntarily and assume full responsibility for any risks, injuries, or damages.

Health & Fitness

You confirm that:

  • you are physically able to participate,

  • you will follow safety instructions,

  • you will disclose any relevant medical conditions before the retreat.

Release of Liability

You release the retreat hosts, coaches, resort partners, service providers, and contractors from liability for:

  • personal injury,

  • illness,

  • property loss,

  • financial loss,
    unless required under Australian Consumer Law.



5. TRANSFER OF BOOKING


You may request to transfer your booking to another participant under the following conditions:

  • The request must be made at least 45 days before the retreat start date.

  • The replacement participant must meet all retreat requirements (skill level, insurance, travel documents).

  • Bookings cannot be transferred after 45 days before the retreat.

Early Bird discounted rates cannot be transferred — the replacement participant must pay the full price, unless otherwise approved.

 

6. FORCE MAJEURE (Events Beyond Our Control)

We are not liable for delays, changes, or cancellations due to events outside our reasonable control, including but not limited to:

  • natural disasters

  • earthquakes or tsunamis

  • extreme weather / unsafe ocean conditions

  • war, riots, or civil unrest

  • government restrictions or border closures

  • epidemics or pandemics

  • transport disruptions

  • resort or boat operational issues

If a Force Majeure Event Occurs

We will offer one of the following:

  1. Full credit toward a rescheduled or future retreat, or

  2. Partial refund, to the extent funds are recoverable from suppliers (resort, boats, transfers, logistics).

Cash refunds are not guaranteed for force majeure situations, as many Mentawai suppliers do not offer refunds.


7. IF WE CANCEL THE RETREAT

If we cancel the retreat for reasons other than force majeure:

You may choose between:

Option 1

Full refund, including your deposit.

Option 2

Full credit toward another retreat (equal or greater value; if greater, difference must be paid).

We are not responsible for additional costs such as flights, visas, travel insurance, or personal purchases.



8. MEDIA RELEASE

By attending the retreat, you grant permission for photos and videos taken during the retreat to be used for marketing purposes.

You may opt out in writing prior to the retreat.
